What is Yarvis? #
Yarvis is the YAROOMS AI workplace assistant. It understands natural language, so you can ask it to book a desk, find a meeting room, check who’s in the office, or manage your schedule, all through a simple conversation.
Where to find Yarvis #
Yarvis lives inside Microsoft Teams as a native app. There is no separate app to install and no new login to remember. Once your IT admin adds Yarvis to your Teams environment, you can start messaging it the same day.
You can also interact with Yarvis by email: simply CC yarvis@yourcompany.com on any message and it will pick up the request.
What can Yarvis do? #
Here are some of the things you can ask Yarvis:
- Book a space - “Book me a desk near marketing tomorrow”
- Find availability - “Find 30 min with Sarah and the design team this week”
- Schedule meetings - Yarvis checks every attendee’s calendar across Outlook and Google, finds overlapping availability, and sends the invite.
- Reserve parking - “Book 6 desks near the product team every other Wednesday for the next month, plus a parking spot with EV charging”
- Handle compound requests - “Book a room at 2 PM, move my desk to Floor 3, and tell my meeting I am 10 minutes late”
- Register visitors - Pre-register guests, send them arrival passes, and coordinate NDA signing.
- Report facility issues - “The projector in Room 4B is broken” and Yarvis will file a maintenance request.
Your first conversation #
Simply type a message to Yarvis the way you would message a colleague. For example:
“Hi Yarvis, book me a desk for tomorrow”
Yarvis will ask follow-up questions if it needs more details, like which location or time slot you prefer. Once confirmed, your booking is made instantly.
Installing Yarvis on Microsoft Teams #
Yarvis is available on the Microsoft Apps marketplace . Your IT admin can install it for your organization in a few steps:
- Open the Microsoft Teams admin center at admin.teams.microsoft.com .
- Go to Teams apps > Manage apps.
- Search for Yarvis and select it.
- Click Allow to make Yarvis available in your organization.
- Optionally, go to Setup policies to pin Yarvis in the Teams sidebar for specific users or groups.
- Users will find Yarvis in the Teams app store or in their sidebar (if pinned via policy).
Individual users can also install Yarvis themselves if their organization allows it:
- Open Microsoft Teams and click the Apps icon in the sidebar.
- Search for Yarvis.
- Click Add to start using it.
Tips for best results #
- Be specific - Include dates, times, and locations when you can. “Book a desk in the London office for Monday 9 AM to 5 PM” works better than “Book a desk.”
- Use natural language - No special commands needed. Just write like you’re messaging a coworker.
- Ask follow-ups - You can continue the conversation. After booking a desk, ask “Can you also book a meeting room for 3 PM?”
- Check your bookings - Ask “What are my upcoming bookings?” at any time to see your schedule.
