Visitor Registration: Capture the Purpose of Each Visit #

Visitor registration now supports a purpose of visit field. Enable it per location to ask visitors to pick a reason for their visit (such as Interview, Meeting, Lunch, or Delivery) from a list of options you control.

The purpose is stored on each visit, not on the contact, so returning visitors can have a different reason every time. The field shows up across self-registration, the reception device, and the dashboard.

  • Per-location configuration. Each location has its own list of dropdown values, plus a toggle to make the field optional or required.
  • Built-in "Other" option. Visitors who do not see their reason in the list can pick "Other" and type a custom one.
  • Dashboard column and filter. The visits table shows a new purpose of visit column, filterable so you can quickly find all interviews, deliveries, or any custom purpose.
  • Shown across every registration flow. Self-registration link, on-site reception device, and the dashboard's Add visit and New contact forms.

Workflows: Sequential Block Builder #

Workflows are now built as a sequence of blocks. Instead of a flat trigger plus filters plus actions setup, you can chain triggers, conditions, actions, and delays in any order, building multi-step automations that respond to bookings the way you actually want them to.

The new visual builder lets you drop blocks one after another: start with a trigger, branch on conditions, pause for a delay, and run actions exactly where you need them. Existing workflows have been migrated automatically and continue to run without changes.

Trigger Blocks

Start a workflow on any booking event: created, updated, canceled, checked in, checked out, no-show, booking start, or booking end.

Condition Blocks

Branch your workflow using the same filter types you already know (location, floor, space, user team, booking time, occupancy, and more). Conditions only continue the workflow when their filters match.

Action Blocks

Notify users, require approvals, restrict bookings, auto check-in, or mute notifications, placed exactly where you want them in the sequence.

Delay Blocks

Pause execution for a configurable duration (minutes or hours) or until a specific moment like booking start. Paused workflows resume automatically once the delay is up. (Example: trigger on booking start, delay 3h 30m, if check-in is still pending, send a reminder before the grace period expires.)

Custom Pages: Author Your Own Pages in Markdown #

Administrators can now author their own pages inside YAROOMS. Write in Markdown, see a live preview as you type, publish the page to your tenant, and optionally surface it in the left menu next to standard items like Workplace or Calendar.

Custom pages are designed for content that does not need a dedicated module: handbooks, office policies, contact lists, FAQs, location info. No engineering involvement required.

  • Markdown editor with live preview. Headings, lists, links, tables, code, and blockquotes render side by side as you type.
  • Custom URL slug. Each page is reachable at /pages/{slug}. The slug is generated from the title and can be edited later.
  • Published or hidden. Toggle visibility from the General tab. Hidden pages stay editable but are not visible to readers.
  • Place pages in the menu. Surface them inside Workplace, Calendar, Visitor management, Services, Settings, or Account, or as their own top-level item. Pin the entry before or after an existing item, or append it at the end.
  • Tenant-wide read access. Once published, every authenticated user in the tenant can read the page.

Microsoft and Google SSO Without Your Own App Registration #

Microsoft and Google SSO now run through the YAROOMS identity broker at id.yarooms.com. Administrators no longer need to create and maintain an Azure app registration or a Google Cloud OAuth client just to let employees sign in with their work account.

The broker handles the OAuth and OpenID Connect plumbing on your behalf, so SSO can be turned on in minutes from the YAROOMS admin panel -- no IT ticket, no client secrets to rotate.

  • One-click setup for Microsoft (EntraID) and Google login -- no app registration required on your tenant.
  • Centrally managed credentials -- secrets and certificates are rotated by YAROOMS, not your admins.
  • Same user experience on web and mobile, with sign-in flowing through id.yarooms.com.
  • Existing tenants keep working. If you already use a custom Microsoft or Google app registration, it continues to function -- migration is optional.

Microsoft Teams Integration Now Has Its Own Page

The Microsoft Teams integration is no longer bundled with Microsoft login. It now lives on its own dedicated integrations page with its own settings, so you can configure Teams-specific options independently from how users sign in.

MCP Server: Analytics Access and Space Management #

Two new capability areas are now available through the YAROOMS MCP server, expanding what AI assistants like Claude and ChatGPT can do on your behalf.

Analytics Access

Pull workplace analytics directly from chat. Ask for occupancy trends, space utilization, attendance patterns, or service usage and get answers without opening the dashboard. ("What was our average desk occupancy in London last month?")

Manage Spaces

Create, update, and configure rooms, desks, and other spaces through your AI assistant. Adjust capacity, amenities, and availability without leaving the conversation. ("Add a new 6-person meeting room called Atlas on the 3rd floor.")

YAROOMS MCP Server: Connect Your Workplace to AI Assistants #

The YAROOMS MCP server is now live, letting AI assistants like Claude and ChatGPT connect directly to your YAROOMS account and take action -- no app switching, no clicking through menus.

MCP (Model Context Protocol) is an open standard that lets AI agents interact with external tools. Once connected, your AI assistant can handle the full range of YAROOMS actions just by asking.

  • Book, modify, or cancel rooms and desks. ("Book me a desk in London for tomorrow from 9 AM to 5 PM.")
  • Check availability across all your locations. ("Find an available room for 8 people at any Bucharest office this afternoon.")
  • Set your work status -- in-office, remote, or away. ("Set me as remote for Friday.")
  • Register and manage visitors. ("Register Alex Morgan as a visitor for Tuesday at 2 PM.")
  • Find colleagues and view their schedules. ("Is Maria in the office today, and when is she free?")
  • Approve or reject pending booking requests directly from chat.

SSO Login on Mobile #

The YAROOMS mobile app now supports the same SSO login options available on the web app. Users on both iOS and Android can sign in using their organization's single sign-on provider, including Microsoft (EntraID), Google, and SAML 2.0.

This update brings the mobile login experience in line with the web app, making it easier for organizations to enforce SSO-only access across all devices.

Favorite Spaces #

Quickly bookmark the desks you use most and book them faster. Favorite Spaces removes the friction from repeat bookings, so getting to your preferred desk takes seconds instead of a full search.

  • Star any desk as a favorite from the map view or the timeline view.
  • Favorites appear at the top of the Timeline so you can check availability and book without scrolling.
  • No limit on favorites -- save as many desks as you need across different floors and locations.

Attendee RSVP for Bookings and Visitor Management #

When adding attendees to a booking, you can now mark each person as "In person" or "Virtual." Attendees receive an email with options to confirm how they will attend. Visitor management invitations are only sent after an attendee confirms physical attendance, so virtual participants and those who haven't responded won't receive unnecessary visitor registration emails.

  • Tag each attendee as "In person" or "Virtual" when creating a booking.

  • Visitor invitations are only triggered after physical attendance is confirmed.

Workplace Services: Subcategories, Notes & Cost Centers #

Several improvements to workplace services make it easier to organize, book, and track services across your organization.

Service Subcategories

Services are now organized into categories and subcategories. When booking, employees see subcategories to quickly find the right service.

Notes on Service Requests

Add a note when selecting a service (e.g., dietary restrictions, special instructions). Notes appear in the service owner's email notification, the booking details page, and the services dashboard.

Cost Centers

Define which department or accounting category a service belongs to. Use a name, a code -- whatever works for your organization. Assign it to a service, and it will show up in services analytics for easy spending tracking.

Proactive Intelligence

Custom Branding for the YAROOMS Outlook Add-in #

You can now customize the YAROOMS Outlook Add-in with your own company branding.

Set a custom display name, upload your logo, and choose an accent color directly from Integrations -> Microsoft 365 -> Outlook Add-in.

Changes made in-app take effect immediately.

To update the name and icon displayed in the Outlook ribbon, simply re-download the manifest and re-deploy it in your Microsoft 365 Admin Center.
