Manage locations across different time zones

The section can be accessed by clicking the "Locations" link in the "Manage" section of the menu. It is accessible only to administrators.

manage locations

Locations are used to describe the physical aspect of the organisation. For example if your company has 4 offices around the world, you would have 4 different locations, each with its own timezone.

The locations can be used in many different ways, for example to separate the many rooms of a hospital in floors, or to separate the meeting rooms available for different events in different venues.

The locations can be deleted by checking the corresponding checkboxes on the left and choosing the desired action from the bottom dropdown.

Creating a new location

add location

The fields that define a location are its name and the time-zone in which the physical location is. The time-zones are abbreviations, typically paired with a couple large cities to provide you with a general idea about this location.

setting daily business hours

From the Schedule tab, you can set up different business hours for different days of the week. You also have the possibility to block weekdays at location level (in addition to the dedicated Blocked dates functionality of YArooms). For example, if you block Mondays, this will apply sequentially to every Monday, in perpetuity, until you chose to edit/remove the blocked date.

If you have different business hours for different days, the Daily view will adapt to the schedule and will display the time slots accordingly. Business hours can be edited at any time but, if future meetings are left outside the schedule due to an edit, a prompt will be displayed asking for those meetings to be deleted. Past meetings can exist outside of the schedule but they will be displayed in inactive time slots when using the Daily view.

You can also choose to restrict the schedule to the working hours (meaning that you decide if people can make bookings outside of the business hours or not).
