Physical Distancing

This article explains how to set up physical distance rules between bookings to leverage the booking system's ability to auto-disable spaces that are too close to a reserved space.

Physical distancing in YAROOMS

In YAROOMS, physical distancing rules can be defined on a space group level. This means that different space groups on the same floor can have different physical distancing requirements. For example, you can establish a minimum 2 meters distance between booked individual desks but keep this condition off from the standing desks.

How to enable physical distancing per space type

Go to Settings → Space types, select a space type, and open Details. Under Kind of space, enable Physical distancing and save your changes. You can then configure the minimum distance for each group belonging to this type.

How to set up minimum distance between booked spaces

Open Groups, select a group, and open the Distancing tab. Enter the Minimum distance between booked spaces in meters and save your changes. Set it to 0 to turn distancing off for that group.

The rule applies to the group’s spaces. When someone makes a booking, nearby spaces within the configured distance become unavailable for the same time interval.

In the example below, a seat has been booked and nearby seats are marked in grey. Seats outside the distancing radius remain available in green.

Scale

The floor map’s Scale is its pixels-per-meter ratio. YAROOMS uses this value to translate distances on the image into real-world distances.

Go to Settings → Workplace, select the location and floor, then open Edit floor → Floor map → Scale. Enter the correct pixels-per-meter value for your floor plan and click Save changes.

Warning: An incorrect map scale produces an incorrect distancing radius. The value of 50 shown above is an example, not a recommended value for every floor plan.

To calculate the scale, divide a known distance in the original floor plan image (in pixels) by its real length in meters. For example, 500 pixels representing 10 meters gives a scale of 50 pixels per meter.

After enabling the type’s setting, configuring the group’s distance, and setting the map scale, open Workplace → Map and select a space to inspect its distancing radius. The example below illustrates a 2-meter radius.
