Visitor Pre-Registration Software: How It Works + 8 Platforms Compared (2026)

Every serious visitor management system offers pre-registration, so the feature itself won’t narrow your shortlist. What differs is how much of the registration flow you can customize and how easy the system is to run.
In this guide we cover what visitor pre-registration software is, how it works step by step, and how eight systems compare on customization, ease of use and price:
What Is Visitor Pre-Registration Software?
Visitor pre-registration software is a tool that lets you register a guest before they arrive, collecting everything the front desk would normally gather at the door in advance instead.
It handles anyone expected on site: clients and candidates, but also contractors and auditors, who usually carry heavier requirements. What the software collects varies by visitor type: contact details at a minimum, often a photo, a signed NDA , screening answers or an uploaded ID.
How Does Visitor Pre-Registration Software Work?
In most cases, visitor pre-registration covers the following steps:
- The host signs up the guest using the visitor registration system and, optionally, books them a workspace at the same time.
- The guest gets an email invite carrying the practical details: date, address, directions, parking, plus a request for whatever information the site needs.
- Then the guest completes a registration flow, which can be anything from a few form fields to signing an NDA.
- A credential is issued once the required steps are done, usually a personal QR code.
- The guest scans the QR code on arrival, at a reception kiosk or from their own phone.
- The host is notified by email, SMS, Slack or Microsoft Teams.
- The visit is written to the digital visitor log , giving reception a live view of who is on site and a record for compliance.
If Every Platform Has Pre-Registration, What Actually Differs?
Visitor pre-registration is a basic feature now. Every modern visitor management system has it.
Two things separate the products: how much of the registration flow you can customize, and how easy it is to use. Pricing tiers matter too, because several platforms reserve the more configurable version of pre-registration for higher-tier plans, for example:
- Sign In App : pre-registration is in every subscription, but the registration portal, where visitors upload documents and complete attestations, is Enhanced at €970 per site per year.
- Envoy : invites are free, but on Basic every visitor gets the same sign-in flow; separate flows per visitor type and conditional fields require Premium at $362 per location per month.
- Archie : custom visit forms and visitor photo capture require Pro at $185 per office per month.
How Much of the Registration Flow Can You Actually Customize?
Customization comes in two levels, and vendors rarely distinguish between them.
The first is adding fields. Almost every system lets you choose what the sign-in asks for: extra questions, an agreement to accept, a photo. The flow itself stays fixed: every visitor walks the same path, answering a different set of questions.
The second is composing the sequence. Here you decide which steps exist, in what order, whether a step repeats, and whether it appears online, at reception or both. Different visitor types can follow entirely different paths, and steps can be triggered by who someone is or where they are going.
For a single visitor type , the first level is enough. Where a contractor, a candidate and a client each need different questions, the second is the deciding factor.
Custom steps in practice
Pre-registration can collect the heavy parts before arrival and keep the lobby flow short when the visitor reaches reception.

8 Reliable Visitor Management Systems That Allow Pre-Registration for Office Guests
I have grouped 8 best visitor pre-registration systems into four buying situations: lowest cost for a single office, mixed visitor types, multi-site rollouts, and event-scale volume. Working through all of them, it became clear they aren’t really competing for the same buyer. A small office choosing on price and a multi-site rollout choosing on compliance are different decisions, and one ranked list would hide that.
YAROOMS is one of the eight tools compared, and I have tried to keep it fair. Our own section follows the same format as the others, uses the same sources, and points out the same kind of drawbacks. Every price and feature comes from the vendor’s own website, and the ratings come from Capterra, so you can check any of it yourself.
All pricing and user rating information was verified in August 2026.
If none of the eight fits, our wider roundup covers more of the category.

Quick picks by need: visitor pre-registration software, matched to common buying situations.
Lowest Cost for a Single Office
This is the most obvious group of the four. One office, tight budget: price does most of the deciding. I selected Vizito and Lobbytrack because they are the two cheapest paid entry points in the comparison, though what each actually includes at that price is not the same.
Vizito
Vizito is a Belgian visitor sign-in app, leaning hard on EU compliance: ISO 27001 certified, GDPR and NIS2 aligned, all data hosted in Europe.
Pre-registration: Available. Guests are invited by email and complete the registration form ahead of the visit, from wherever they are.
Customization: You control what the sign-in asks for: fields, agreements, privacy notices, photo capture, badge contents. The kiosk screen is also fully brandable.
Pricing: Standard is €29.95 per location per month billed yearly, Pro €59.95, Enterprise €99.95. The tiers step up on monthly visit volume: 100, 300 and unlimited. Pre-registration and the customization options are all in Standard.
Ease of use: 4.8/5 on Capterra.
Limitations: Count your visits carefully. Standard covers 100 a month, so a busy quarter can push you up a tier on volume alone. Vizito reviewers also describe the configuration side as thinly documented, and some report visitors hitting QR code failures at sign-in.
Lobbytrack
Lobbytrack is built around security as much as reception: guard app, watch-list checks, incident reporting and evacuation management, and used across government, healthcare and education as well as corporate offices.
Pre-registration: Employees pre-register visitors from the web portal, the Lobby App or the Employee App. On arrival, the guest signs in at the Lobby App kiosk.
Customization: Multiple sign-in flows and deny conditions even on the free tier, plus a badge designer with conditional elements and separate designs per visit type.
Pricing: Starter free to 100 visitors/month, Basic $50/location/month, Professional $100, Ultimate quoted. Multiple sign-in flows, photo capture and badge printing are in the free tier; visit scheduling by employees, visit agreements, and driver’s licence scanning start at Professional.
Ease of use: 4.8/5, with several reviewers citing the shortest learning curve among the products they trialled.
Limitation: Host-initiated scheduling, visit agreements and ID capture are all Professional at $100, double the Basic price. Reviewers also flag thin documentation.
Offices With Several Different Visitor Types
Not every visitor needs the same thing. A contractor might need a safety briefing, a job candidate just a name badge. YAROOMS and Archie are very flexible visitor management systems: both let you set up a different registration flow for each type of visitor .
YAROOMS
YAROOMS is a secure visitor management system (ISO 27001, ISO 27701 and SOC 2 Type II certified) sold either as part of a wider workplace management platform or on its own.
Pre-registration: Hosts can pre-register a guest in the YAROOMS app, or straight from a meeting invite in Outlook or Teams. The guest receives the visit details and a personal QR code, and completes the required steps before arriving.
Customization: The pre-registration flow can be assembled from seven step types: visitor details, PDF signature, checkbox agreement, document upload, photo, video and questionnaire. Any step can be repeated, marked required, and set to appear online, at reception, or both.
Pricing: $99 per location per month, or $950 per year, with no tiers or plans. All available visitor management features are included at that price.
Ease of use: 4.7/5 on Capterra.
Limitation: It lacks some of the niche features dedicated visitor management systems carry, for example, it does not offer a visitor mobile app, or host notifications on Slack.
Archie
Archie is a modern visitor management system for offices, handling guest registration, check-in, host notifications and visitor records.
Visitor pre-registration: Visits are scheduled in Archie, and guests are notified automatically with their visit details.
Customization: Check-out procedures, welcome messages and branding are all configurable, with your logo and colours carried across the kiosk screens and the emails guests receive.
Pricing: Visitors Starter $109/office/month, Pro $185, Enterprise quoted.
Ease of use: 4.9/5, the highest of the eight, though reviewers note initial configuration takes real time.
Limitation: Several parts of the pre-registration experience sit above the entry plan: custom visit forms, visitor photo capture, and SMS notifications all require a Pro plan.
Multi-Site Rollouts
Once you pass a handful of offices, consistency becomes a harder problem than check-in itself. Envoy and Eptura Visitor are in this category because both were built for big organizations: long track records, large install bases, and the kind of central controls a single-site office never needs.
Envoy
Envoy is one of the most recognised names in the visitor management market, with a long-standing free tier.
Visitor pre-registration: Hosts invite guests ahead of time and collect details before arrival. Invites are managed from the dashboard, mobile app or a connected calendar.
Customization: Admins build the flow from sign-in fields, legal documents, photo capture and a final screen. On the Basic free plan, all visitors get one identical flow. Per-visitor-type flows and conditional fields need Premium.
Pricing: Basic free with 100 entries/month; Premium $362/location/month billed annually; Enterprise quoted.
Ease of use: 4.8/5 on Capterra.
Limitation: Custom flows, SMS notifications to hosts, and other important features require Premium, $362 is the highest published per-location price of the eight, and reviewers report difficulty replicating flows across sites, leading many buyers to look for Envoy alternatives .
Eptura Visitor
Eptura Visitor is the former Proxyclick, now part of Eptura’s wider workplace platform. It is aimed at large organizations, built around approval workflows, watchlists and access-control integration rather than front-desk convenience.
Pre-registration: Hosts invite guests, screen them against watchlists and approval rules, and issue a unique QR code before arrival.
Customization: Registration flows and badges can be tailored per visitor type or per client, and the experience carries your branding rather than Eptura’s. Access permissions are set by area, so a credential only opens what the visit requires.
Pricing: Not public.
Ease of use: 4.6/5, the lowest of the eight, on Capterra.
Limitation: Overbuilt for a single reception desk and only pays off across multiple sites. No public pricing, so budgeting requires a sales conversation.
Event-Scale Volume
Open days, training sessions and conferences bring visitors through in batches, not one at a time. I selected Robin and Sign In App for this group because both handle pre-registration in bulk.
Robin
Robin is a workplace operations platform where visitor management sits alongside desk and room booking.
Pre-registration: Hosts invite visitors from Robin and can attach legal documents for the guest to acknowledge before arrival. Groups are added at once by CSV upload.
Customization: Unlimited custom registration forms, custom visit types on top of six defaults, and per-question control over whether a field is required.
Pricing: Not published. Third-party listings, more about that in our Robin alternatives piece, place visitor management in Robin’s higher tiers, and several reviewers question the value at that price.
Ease of use: 4.7/5, though most reviews describe desk and room booking rather than the visitor module.
Limitation: Robin’s visitor management is a secondary module rather than the core product, and pricing is reportedly high.
Sign In App
Sign In App is a UK-based platform covering visitor management, employee sign-in, and compliance.
Visitor pre-registration: Hosts pre-register from the web portal, the mobile app or Outlook. Guests receive a branded, multilingual invite carrying a calendar link and a personal QR code. Groups can be bulk-uploaded by CSV for events and open days.
Customization: Document uploads, policy attestations and multi-stage approvals can each be triggered by visitor type, location or risk level, with system-wide rules that allow local exceptions per site.
Pricing: Core €485/site/year, Enhanced €970, Pro €1,450, Executive quoted.
Ease of use: 4.7/5 on Capterra.
Limitation: Pre-visit registration portal sits at the Enhanced tier, with appointment scheduling charged separately on top.
How Do You Choose Visitor Pre-Registration Software?
To choose visitor pre-registration software, count the visitor types you need to handle differently, confirm in writing which plan supports that many flows, budget for configuration time as well as the licence, check how settings replicate across sites, and check where the host starts the invite.
- Count your visitor types. If a contractor, a candidate and a client need different checks, you need per-type flows rather than one flow with extra fields, and that is usually where the tier jump sits. Ask which step types can be added, and whether a step can repeat.
- Confirm the tier in writing. Ask which plan includes pre-arrival document completion and get the answer by email. It is frequently not the entry plan, and demo environments tend to run on the top one.
- Budget for configuration, not just licence. The most customizable products take the longest to set up. Ask how many hours onboarding takes, and who does the work. See visitor management system cost and apps under $200 .
- Check multi-site replication. Do settings copy between sites, or is each one built by hand? That is the difference between a two-week rollout and a two-month one.
- Check where the host starts. Being able to pre-register someone from the calendar invite you’re already writing is a small thing that does a lot for adoption. Hosts who have to open a separate tool tend not to bother.
Frequently Asked Questions
Do All Visitor Management Systems Offer Pre-Registration?
Effectively yes. All eight platforms in our list support registering a guest before arrival, and most include it in their entry plan, so it should not decide your shortlist. What varies is how much of the flow you can configure, whether it differs by visitor type, and which plan unlocks pre-arrival document completion.
Which Visitor Pre-Registration Software Is Easiest to Use?
On Capterra in August 2026, Archie holds the highest ease-of-use score at 4.9/5, ahead of Envoy , Lobbytrack and Vizito at 4.8/5. The spread is narrow, 4.6 to 4.9, so the scores alone are weak evidence. Reviewer comments matter more: guest sign-in rates well everywhere, admin configuration is where difficulty is reported.
Do Visitors Need an App to Pre-Register?
No. On all eight platforms, guests pre-register in their phone’s web browser using a link or QR code from the invite email. Vendors offer apps for employees and hosts, and kiosks run a tablet app, but the guest-facing flow is browser-based by design, an install would cut completion rates.
Can You Pre-Register a Visitor From Outlook?
On some platforms, yes. YAROOMS offers an Outlook add-in alongside Microsoft 365 and Google Calendar, and Sign In App lists Outlook as a pre-registration route. Envoy supports calendar-based registration only on Premium. Archie routes invitations through Microsoft Teams.
How Far in Advance Should You Pre-Register a Visitor?
Twenty-four to forty-eight hours is a practical minimum for a standard office guest, enough time for the invite to be seen and forms completed without chasing. For visits needing approvals, watchlist screening or access credentials, allow several days. Most systems accept registrations up to arrival, so the limit is practical, not technical.
Is Visitor Pre-Registration GDPR Compliant?
It can be, but compliance depends on configuration rather than the software alone. Look for explicit consent capture at registration, a defined retention period with automated deletion or anonymisation, name-hiding on kiosks, and a data processing agreement. Vizito documents these directly. Collecting less data is the safer default.
